A defined estimating role
Agree the tasks, experience, hours and handover expectations before committing to an arrangement.
COST SOLUTION / HVAC ESTIMATING
Dedicated people. Your estimating process.Add dedicated offshore HVAC estimating support to your Australian contracting business. Build capacity for take-offs, supplier pricing and tender preparation, with your team retaining control of rates, margin and final submission.
A PERSON IN YOUR PROCESS
When take-offs and quote follow-ups consume the day, reviewing scope and choosing the right tenders gets squeezed. Extra estimating capacity should give you more room to make those decisions.
Cost Solution helps you add a dedicated remote team member. You define the work and review the output. The role is shaped around your tender pipeline, rather than treating every drawing set as an isolated order.
Agree the tasks, experience, hours and handover expectations before committing to an arrangement.
Build the role brief around your take-off conventions, cost codes, supplier lists and estimating templates.
Keep responsibility for local installation assumptions, allowances, mark-up and tender sign-off with your business.
WHAT CAN GO INTO THE ROLE
Use this scope map to brief the support you need. The final task mix depends on the candidate’s experience, your systems and the agreed engagement.
On smaller screens, swipe across the table to compare the scope and review points.
| Workstream | Support to scope | Your review point |
|---|---|---|
| Ductwork & air distribution | Rectangular, circular and flexible duct; fittings, dampers, insulation, grilles and diffusers. | Measurement rules, specification, fittings and fabrication assumptions. |
| Air conditioning & plant | Equipment schedules for split systems, VRF, AHUs, FCUs, fans and other specified plant. | Equipment selections, supplier inclusions, freight and quote validity. |
| Pipework & ancillaries | Refrigerant, chilled-water or heating-water pipework, condensate drains, valves and insulation, where in scope. | System boundaries, material specification, supports and installation access. |
| Pricing & labour build-up | Quote comparisons, material extensions and labour allowances using your approved inputs. | Current Australian supplier rates, local productivity and site conditions. |
| Tender & addenda support | Revision registers, clarification lists, inclusions, exclusions and estimate updates. | Latest document issue, changed quantities, qualifications and final margin. |
For a broader view of mechanical packages, read our Mechanical Estimating guide. Within the HVAC package, ductwork estimating needs its own measurement rules for fittings, insulation and fabrication.
Estimating support works from the project documentation. Design decisions, engineering certification and compliance approval need the appropriately qualified project professionals.
TOOL 01 / CAPACITY PLANNER
Start with hours, rather than a job title. Change the example inputs to reflect your tender pipeline, then take the result into a role-scoping conversation.
Include quote chasing, addenda and estimate preparation in the hours per tender. Add coordination and review time separately so it remains visible.
Next: prepare the handover ↓YOUR WORKLOAD, MADE VISIBLE
Enter a valid non-negative number within each field’s limits.
That is approximately 16.6 preparation hours per week.
Preparation = tenders × preparation hours. Retained time = (tenders × review hours) + monthly coordination. Weekly preparation = monthly preparation ÷ (52 ÷ 12).
The starting values are examples, not industry benchmarks. This estimates workload, not staff productivity, hours saved, staffing cost or a recommended employment arrangement.
THE REVIEW POINTS THAT MATTER
Make the boundaries visible before a tender leaves your business. These are practical checks to build into the role, not items to assume someone else has covered.
Identify who carries BMS integration, electrical connections, penetrations, fire stopping and access provisions. Record exclusions against the relevant package.
Keep a drawing and addenda register. A revised equipment schedule should trigger a check of connected pipework, controls, electrical requirements and supplier quotes.
Check allowances for testing, adjusting and balancing, commissioning, witnessing, training and O&M manuals against the specification.[1]
“Designing a system well will improve outcomes. Commissioning it well will improve outcomes further.”
TOOL 02 / HANDOVER BUILDER
Tick what you already have ready. The checklist highlights what still needs discussion and creates a short brief you can add to your enquiry.
You can start a conversation with gaps still open. The point is to identify them before work is delegated.
This tool runs in your browser. Nothing is sent until you choose to submit the enquiry form.

COST & COMMERCIAL FIT
The cost of dedicated HVAC estimating support depends on experience, hours, task complexity and the engagement. Ask for a role-specific proposal so you can compare like for like.
Offshore staffing can help manage employment costs. The useful comparison also includes software licences, onboarding, supervision and the time your own team retains for review.
Looking for a one-off estimate, engineering design or a quote to install air conditioning at home? State that upfront so we can clarify whether this staffing model suits your request.
A PRACTICAL STARTING PLAN
Use the consultation to work through the decisions that make the arrangement workable.
Describe the projects, tender volume, software and tasks taking time away from your team.
Discuss experience, availability, scope, commercial terms and your review responsibilities.
Before work starts, agree access, templates, communication and a reviewable first assignment.
BEFORE YOU ENQUIRE
HVAC estimating brings together quantities, equipment and material prices, labour allowances and project requirements to build up a cost for heating, ventilation and air conditioning work. A take-off measures the scope; the estimate adds pricing and documented assumptions.
This offer centres on dedicated offshore estimating capacity for your team. Discuss the work you want to delegate, the hours required and how you will review it. It is best assessed as a staffing arrangement, rather than a fixed promise to price any project.
Include your commercial project types and system complexity in the brief. Experience with a small split-system package does not establish experience with a large ducted, VRF or chilled-water tender. The task scope needs to match the candidate’s demonstrated skills.
Specify the exact tools and tasks you use, such as PDF take-off, spreadsheet build-ups or your estimating platform. Software experience, licence access, file permissions and output formats need to be confirmed when scoping the role. No particular software proficiency is assumed.
Brief the capability and working arrangement you need first. If location or time-zone overlap matters, include it in your enquiry. Available locations and candidates need to be confirmed during the consultation.
Start dates depend on role fit, availability and onboarding. Tender preparation depends on scope, document quality, revisions and the agreed hours. Raise your next deadline early so expectations can be checked before you commit.
Agree the approved pricing sources and the responsible reviewer. Your business retains final commercial approval. Project-specific codes, standards, equipment selections and engineering requirements should be checked by the appropriately qualified people; staffing support is not a compliance certificate.
Start with your business type, typical projects, tenders per month, software and the tasks you need covered. You do not need to upload confidential drawings to make the first enquiry. Use the handover builder above to prepare a starting brief.
