Construction Quoting Software: A Practical Guide for Australian Builders

‫Construction quoting software displaying building plans and an itemised quote for an Australian residential project
Built for better decisions.

Construction quoting software turns a costed scope of work into a customer quote, with pricing, inclusions, exclusions and acceptance details. For Australian builders, Buildxact is worth shortlisting when quotes start with plan takeoffs; Tradify suits trade quoting; NextMinute connects quotes with crew and job costs; and Simpro supports quoting within broader trade operations. Choose by testing how your own estimate becomes an issued quote, then an accepted job.

Already have software, but quotes still wait for someone to measure drawings, check supplier prices or prepare the cost breakdown? Cost Solution helps Australian construction businesses add dedicated offshore estimating staff. Tell us your platform, project types and quoting workload to discuss a role suited to your team. You retain control of pricing decisions and final approval. This enquiry is for estimating staff, rather than a software subscription.

Which construction quoting software fits your work?

Start with the work you price. A residential extension needs different quote preparation from a repeat maintenance job. These four platforms cover different workflows; the checks below help you decide which deserves a trial.

Construction quoting software shortlist: Australian pricing checked 27 October 2026
Software Workflow to consider it for Published starting price Check before choosing
Buildxact Residential quotes built from digital takeoffs, supplier pricing and customised quote letters. Foundation: A$199/month on monthly billing, excluding GST; unlimited users.[1] Job management starts on Pro. Confirm the tier needed for your workflow after acceptance.
Tradify Trade quotes using saved price lists, mobile preparation and online acceptance. Lite: A$48/user/month, excluding GST.[2] Calculate the cost for everyone who needs access. Check plan limits for branding, kits and reminders.
NextMinute Residential trade teams connecting quote templates and supplier price books with actual job costs. From A$199/month for three users. Confirm GST treatment and your crew’s total price.[3] Test how your measured quantities enter the quote and how accepted figures carry into job costing.
Simpro Trade businesses needing quotes alongside scheduling, purchasing, inventory and field operations. Pricing on request; an initial setup fee applies.[4] Ask for a written total covering implementation, users and any takeoff or other add-ons.

Buildxact documents quote letters with specifications and prime cost/provisional sum breakdowns; Tradify documents shared price lists and accepted-quote conversion to jobs; NextMinute documents templates, supplier price books and quote-to-actual cost tracking; Simpro documents catalogue pricing and quote progress reporting.[5][6][7][8] Confirm availability in the exact plan you are considering.

Presentation matters alongside the underlying cost build-up. Brett Way of VW Building Projects describes that combination in a customer testimonial published by Buildxact:

“The ability to quote accurately and quickly and present it really well just stands out.”

That is one customer’s assessment, rather than an independent performance benchmark. Use your own job to test the same combination: accurate inputs, a clear offer and manageable preparation time.

If you also need a deeper comparison of takeoff tools, cost libraries and estimating workflows, see our guide to the best estimating software for builders. Here, the decision is narrower: which system handles the quote you actually need to issue?

What should your software carry from estimate to quote?

The client quote should preserve the priced scope without exposing internal cost rates or losing qualifications. Takeoff establishes quantities; estimating applies material, labour, subcontractor and other costs; quoting presents your offer to the customer. One platform may cover all three tasks.

If the problem is building the underlying cost estimate, our Construction Estimating Software guide covers tools for quantities, rates and project costing. For quoting, test what happens when those internal figures become a customer document:

  • Scope and drawing references: identify the priced plans, specifications and revisions, with explicit inclusions and exclusions.
  • Cost and selling price: maintain separate internal costs and customer prices, with clear markup or margin settings.
  • Allowances: distinguish fixed-price work from prime cost (PC) items and provisional sums (PS). State what each allowance covers.
  • Issue details: include the quote number, revision, expiry, payment terms, applicable GST and acceptance details.
  • Handover: preserve the accepted scope and price when creating the job budget, purchase orders or accounting records.

The Australian Government’s quote checklist includes business and customer details, a clear work description, itemised and total costs, applicable GST, revisions, payment terms, dates and acceptance details.[9] Use that as a starting point for the document template.

For residential allowances, check the software against the contract you use. HIA’s Queensland guidance explains that PC and PS allowances in the schedule exclude the builder’s margin, which needs to be accounted for in the overall contract price.[10] Do not assume one default allowance calculation suits every state or contract.

For example, a bathroom renovation quote might include a tapware supply allowance while pricing installation separately. Check that the customer PDF makes that distinction visible. Otherwise, a tidy total can conceal a disagreement about what the builder has allowed.

On a Mac, trial the complete workflow in your intended browser, including plan handling, PDF export and accounting connections. Our guide to construction estimating software for mac covers platform considerations when measurement and estimating also need to work on your device.

Test quote revisions before you subscribe

Ask the vendor to demonstrate a changed quote using your own sample job. Creating the first PDF is only part of the task. You also need to see which version was issued, what changed and which figures become the job budget.

Use this repeatable test during the trial. The figures are hypothetical, exclude GST and assume the cost base includes everything you intend to recover before gross profit.

  1. Create Version 1: enter A$80,000 in costs and set a 20% gross margin target. The selling price should be A$100,000.
  2. Issue it to a test customer: retain the PDF, drawing revision, inclusions and issue date.
  3. Revise the scope: add A$2,000 in costs. At the same margin target, Version 2 should total A$102,500. Record the reason for the change.
  4. Open the original acceptance link: check whether it shows the superseded status, redirects, or still allows acceptance. Establish how your team will prevent ambiguity.
  5. Convert Version 2 into a job: reconcile the A$82,000 cost budget, A$102,500 selling price, scope and cost codes. Record anything that requires manual entry.
Show the evidence to keep from the trial

Save both issued PDFs, the change record, the original link’s behaviour and the converted job budget. Record who can edit prices and who can send quotes. Any manual workaround needs an owner before the system goes live.

Also refresh a supplier rate after issuing the quote. Check whether the issued document remains unchanged while the working estimate updates. Your team needs a retrievable record of the offer the customer received.

How much does each quote actually cost?

Measure staff time as well as the subscription. Include measuring, rate checks, subbie quote comparisons, revisions, review and document preparation. A cheaper licence can still leave the owner doing several hours of work on each submission.

Use this calculation with your own figures:

Monthly quoting cost

Software fees + (quotes prepared × average staff hours per quote × loaded hourly staff cost) + allocated setup costs

Divide by the number of quotes prepared to calculate cost per quote.

For an illustrative month, assume A$160 in software fees, 12 quotes, four staff hours per quote and a loaded staff cost of A$65/hour. With no setup allocation, quoting costs A$3,280, or A$273.33 per quote. Reducing preparation to two hours would release 24 staff hours, valued at A$1,560 at that assumed rate. Released time becomes a cash saving only if paid costs fall; otherwise, it creates capacity.

Run a four-week log before changing systems. Record preparation hours separately from time waiting for supplier responses or client information. Track revisions and reviewer corrections too. Faster PDF production will have little effect if most of the delay occurs before the estimate is ready.

When does your quoting workflow need an estimator?

Consider additional estimating capacity when your system works, but the preparation queue keeps growing. If the owner still measures plans after site visits, chases trade prices and checks every line at night, another subscription may leave the same workload untouched.

Cost Solution helps Australian construction businesses add dedicated offshore estimating staff. A useful role brief identifies the work to allocate, such as quantity takeoffs, pricing preparation and quote documentation, alongside your software requirements. Confirm the candidate’s relevant experience and agreed scope before assigning work.

Define who maintains the rate library, resolves scope questions, reviews allowances and authorises the final selling price. Your business retains commercial decisions and client commitments. Give each team member appropriate individual access, and confirm the vendor’s licence terms and permissions.
